Privacy & POPIA notice

When you complete a Complex Health Check we collect your name, email address, telephone number and the capacity in which you act for the scheme, together with details about the scheme itself: its name, unit count, address and your answers to the compliance questions.

If you request a quote, we also collect the additional property details you provide and the contact details of the person who will give an assessor access to the site.

To generate and deliver your Health Check report, to prepare a quote where you ask for one, and to contact you about the result. Your contact details are also used to identify your submission if you get in touch about it later.

We do not use your information for automated decision-making that has a legal consequence for you. The compliance score is an indicative guide produced from the answers you gave, not a determination about you.

We process the information above on the basis of the consent you give when you submit the Health Check. You may withdraw that consent at any time by emailing us, and we will stop processing your information and delete it unless we are required by law to retain it.

Your information is shared with our email delivery provider so that we can send you your report, and with our hosting and database providers who store it on our behalf. Each of these acts as an operator under POPIA and processes the information only on our instruction.

Where you accept a quote, the relevant details are shared with the accredited professional appointed to carry out that work. We do not sell your information, and we do not share it for marketing by anyone else.

Personal information collected through this site is stored in South Africa. Some operators, such as our email delivery provider, may process information outside South Africa in the course of transmitting a message to you.

We keep Health Check submissions for as long as necessary to provide the service and to meet our legal obligations. A defined retention period is being finalised and will be published here.

Under POPIA you may ask us what personal information we hold about you, ask us to correct or delete it, object to our processing of it, and complain to the Information Regulator of South Africa.

To exercise any of these rights, email us and we will respond within a reasonable period.

Information is transmitted over an encrypted connection and stored in an access-controlled database. Access is limited to those who need it to deliver the service.
